Smartie - drafting emails and file notes

Smartie can draft client-ready text for you — an email, a file note, or an extract for a Statement of Advice — and you copy it into your own document. Just ask, in the conversation.

What this does and doesn't do — Smartie writes the text. It doesn't produce a finished document file. You copy the draft out and paste it into your own letterhead, workpaper, SoA or email.


How to ask for a draft

After most answers, Smartie offers to use the response for a Statement of Advice, client letter, file note or email. You can also ask at any point.

  1. Get the answer right first — with the client's facts in it. The draft is only as good as the answer behind it.
  2. Ask for what you want, in the same conversation. For example:
    • "Draft this as a file note."
    • "Write this up as an email to the client."
    • "Give me an extract I can use in an SoA."
    • "Turn this into a letter to the trustees."
  3. Refine it with a follow-up — "make it shorter", "less technical, the client isn't an accountant", "add the documentation steps"
  4. Click Copy beneath the response and paste it into your document


Getting the tone and length right

Say who it's for. Smartie pitches a draft very differently depending on the audience, and telling it up front saves a round trip.

"Draft a file note" Technical, complete, references retained — written for your file
"Draft an email to the client" Plainer language, shorter, action-focused
"Give me an SoA extract" Formal, structured for inclusion in an advice document
"Draft a letter to the trustees" Formal, addressed, with the obligations set out

Useful add-ons: "keep it under 200 words", "no jargon", "include the legislative references", "set out the next steps as a numbered list".


Before it leaves your firm

A draft from Smartie is a starting point, not a finished client document.

  1. Check the facts against the client's actual circumstances
  2. Confirm the law is current — check the source references beneath the original answer
  3. Apply your own judgement on what's appropriate for this client
  4. Edit it into your own voice and your firm's format

Remember — once you paste a draft into a client document it's your work product. Smartie is a technical support tool and doesn't provide licensed financial advice; your professional obligations apply in full.


Coming later

Generating finished documents — letters and reports produced as files rather than text to copy — is planned for a future release. In this version, drafting plus copy and paste is the workflow.
